Secretarial and Finance
The primary role of the Finance Assistant and the Secretaries is to ensure that the day to running of the Centre is kept as smooth and efficient as possible. The team comprise 2 secretaries (Anne and Norma) the Finance Assistant (Karen H).
The Secretaries offer a wide range of typing and secretarial support for the Primary Health Care Team (12 Doctors, Practice Manager, Nursing Staff and Counsellor). They prepare all documentation for our internal Practice/Group meetings in addition to the Staff/Nurses and Patient Participation Group Meetings.
If your Doctor needs to refer you on to a hospital consultant or specialist normally this will be done by the Choose and Book system but the referral letter is dictated and typed up by Norma or Anne. The aim is for 48 hour from the time you had your appointment with your GP to the letter being dictated and typed. Obviously this time cannot by guaranteed, as we have to allow for secretaries taking holidays or, on rare occasions being absent through sickness. We have recentley had to employ a new secretary Anne due to the leaving of Karen M . So you patience is needed as our new secretary finds her feet.
The secretaries will also liase with hospital secretaries and other agencies if queries arise regarding referral letters or other correspondence. All correspondence is electronically stored and logically filed for fast retrieval should copies ever be required. The Finance Assistant, Karen Hughes, offers support to the Practice Manager, Secretaries ad Primary Health Care Team. She covers a multitude of tasks, ensuring that the Centre is well equipped with stationery, furniture, staff uniforms and medical equipment alongside ensuring that all the necessary day to day financial activities are performed and all our invoices are paid. In addition she manages the payroll for the staff and is a member of the Finance Sub Committee.
